How does the automation ROI calculator work?

It multiplies the people doing a task by the hours each spends on it, then by what an hour of their time costs, to get an annual figure. It assumes 46 working weeks rather than 52 so holiday and sickness are accounted for. It then applies a range for how much of that work automation usually removes, based on how repetitive you say the task is. The output is a range, not a single number, because the honest answer depends on the process.

Is the saving estimate realistic?

It is deliberately conservative. Even a highly repetitive task is capped at 75% removed rather than 100%, because exceptions, approvals and edge cases almost always need a person. A task with a lot of judgement in it is capped much lower. If a calculator tells you a process disappears entirely, treat that as a sales pitch rather than an estimate.

What counts as fully-loaded hourly cost?

Take the salary, add employer National Insurance, pension contributions and any other employment costs, then divide by the hours actually worked in a year. For a lot of UK office roles this lands somewhere between £25 and £45 an hour. Using bare salary alone will understate what the work is really costing you.
