What moves the price

Headcount and devices

More people raise the monthly total. Extra devices per person, such as a laptop plus a phone, often count as extra endpoints. Some providers bill per user and others per device, so check the unit before you compare quotes.

Hours of cover

A helpdesk that only runs from nine to five costs less. Overnight and weekend cover costs more because someone has to staff it. If people work evenings, a daytime window leaves you paying extra the moment something fails outside it.

Security in the fee

Basic antivirus is cheap to include. Managed firewalls, email filtering, multi-factor authentication and endpoint detection push the rate up. If security is sold as an add-on, the advertised per-user figure understates what you'll actually pay.

On-site and sites

Remote-only support sits in the lower band. Planned engineer visits, extra offices and staff who work across sites add travel and time. Multi-site cover is one of the fastest ways a quote leaves the entry range.

  • Microsoft 365 licences are often billed separately. The support fee manages the tenancy; the licence cost still sits with Microsoft.
  • Onboarding and takeover fees can sit outside the monthly rate. You'll often pay to document the estate and migrate existing tools.
  • After-hours callouts billed per incident can dwarf a cheap daytime retainer. A Saturday failure then becomes an extra invoice.
  • Replacement laptops and line rental rarely sit inside the per-user fee. Printers and firewalls are often billed separately too.
